QMeet™ Conference Attendance In development

Conference attendance, recorded from the phone in the room.

QMeet™ Conference Attendance replaces the clipboard at the back of the lecture hall. You start the meeting, a four-digit code appears on screen, and residents check in from the ResQ app. Didactic and conference attendance lands in the record without anyone typing a sign-in sheet into a spreadsheet afterwards.

Showing 5 of 24 checked in

The run screen while a meeting is open. Present mode clears everything but the digits.

The problem

A sign-in sheet is only as good as the row it reached.

Required conferences have to be documented, and the attendance record follows a resident through training. The common method is a sheet passed down a row, then typed into a spreadsheet by a coordinator the following week — with the usual gaps where it stalled three seats in, or never came back at all.

How it works

Four steps, and the sign-in sheet is gone.

1

Schedule the meeting

Title, location, date and start time in your program’s own time zone, expected duration, and how long before it ends itself. Set the number of minutes after which a check-in counts as late, so that call is made once, up front, rather than case by case afterwards. For the conference that runs on the same rhythm all year, set it to repeat — weekly, every two weeks, every three or every four. Edit or cancel any scheduled meeting.

Optional: corroborate with a WorkZone™
Tie a meeting to one of your WorkZones™ and each check-in records whether the resident’s phone was checked into that WorkZone™ when they entered the code. It never blocks a check-in, and residents never see the result — it appears as a Presence column on the meeting’s roster, and the portal spells out what each state means.Set per meeting; a repeating series does not carry a WorkZone™.

2

Start it

A random four-digit code appears on the coordinator’s screen in large, high-contrast type. Read it out, or write it on the whiteboard. Present mode clears everything else off the screen, leaving the digits alone at full size for a projector or a room display.

3

Residents check in

They open the ResQ app, type the four digits, and their check-in time is recorded. The app confirms the meeting title and time back to them.

Presence check. When a meeting has a WorkZone™, ResQ records whether the resident’s phone was in that WorkZone™ when they entered the join code. Manual adds are not checked.Corroborated — Their phone was in the WorkZone™.Contradicted — Their phone was in a different WorkZone™.Not checked — No location evidence either way. The resident’s WorkZones™ may be off, or their phone may not have registered the zone yet. This is not a sign of absence. Not recorded — The check did not save for this join. This is not a sign of absence.

Presence sits beside each check-in. “Not checked” means no location evidence either way — not an absence.

4

End it — or let it end itself

End the meeting when it is over, or let it auto-end after the period you set. The code stops working the moment the meeting ends.

The resident’s side: enter the code, and their own attendance record keeps itself.

Why a code and not a QR

A code works from the back row.

A code can be read aloud or written on a whiteboard. Nothing has to be printed, displayed at a readable size, or close enough to photograph — and nobody has to grant camera access to check in to a lecture. A resident in the last row checks in the same way as one in the front.

Nothing to hand out

No sheets, no printed codes, no hardware in the room.

The code is short-lived

It is generated when the meeting starts, shown only on the coordinator’s screen, and stops working when the meeting ends. It never appears in a notification, a list or an export.

Corrections

Dead phone, late arrival, left early.

Attendance in a real room is never perfectly clean. A coordinator can add or remove an attendee after the fact, and every manual change carries a reason. Manually added rows stay visibly distinct from code check-ins everywhere they appear — on the roster, in the report and in the export — so the record shows how each attendance was established. Removals are kept the same way, with who removed the row and why — nothing is deleted outright.

The record

Attendance attached to the resident, not to a filing cabinet.

The meeting’s own roster

Each attendee’s name and PGY level, when they joined, when they left, and whether they checked in by code or were added by hand. Export a single meeting’s roster as a CSV.

Per-resident attendance

A report across a date range for the whole program — meetings held, attended, attended late, attended manually, missed, and an attendance percentage per resident. Exports the same way.

Available through the API

Meeting and attendance records are reachable programmatically, the same as the rest of your ResQ data. The WorkZone™ presence result is not in the API yet.
